Personal Particulars
All employees should advise SY Plus Limited of any change in address, telephone number, any convictions, driving licence endorsements and any other changes, which are relevant to their employment with SY Plus Limited. This also includes any medical condition, which requires SY Plus Communications to make any health and safety provisions.
Personal Honesty
Working in SY Plus Limited requires a high standard of personal honesty and integrity. SY Plus Communications policy is to deter criminal acts of theft and fraud. The aim is to keep honest people honest. Theft, fraud or any action that leads to personal gain or advantage, regardless of value, constitutes grounds for summary dismissal, however small the amount or item, and will be reported to the police.
It is your responsibility and, in your interest, to ensure you understand and comply with the procedures laid down by SY Plus Limited. Ignorance of SY Plus Limited procedures will not be accepted as an excuse if you fail to comply. If in any doubt, ask your Line Manager or HR.
It is the duty of all employees to report any form of dishonesty against SY Plus Limited or its employees by advising a senior manager.
Emergency Contact Details
The HR Department is responsible for maintaining up-to-date details of your home address and the emergency contact telephone numbers of the person or persons you would like us to contact in the event of an emergency, for example if you have an accident. This information will be requested by the HR department when you start work and you should advise us of any changes straight away. This information is held in confidence and will only be used when needed.
We will write separately to the person or persons whose contact details you have provided, notifying them of why we hold their details, namely that it is in your legitimate interests.
Fire Procedures
You should regularly familiarise yourself with the latest fire regulations and procedures in force as detailed in the Health & Safety Section.
In the event of an outbreak of fire, the routine procedure is as follows:
Sound the alarm by activating the nearest ‘break glass’ fire alarm point
Evacuate the building by the nearest fire exit
Report to the nearest assembly point
Do not attempt to collect personal belongings
Do not use the lift
Do not re-enter the building until it has been advised safe to do so
Car Park
A limited number of parking spaces for personal vehicles are available outside of SY Plus Limited premises as well as, from time to time, additional spaces in the adjacent building. Employees do not have a right to a permanently allocated parking space but are offered the opportunity to park on the premises. SY Plus Limited cannot accept any responsibility for any loss or damage to vehicles parked on the premises, or at the additional parking resource.
The speed limit in the carpark is 5 miles per hour (mph). This is to ensure pedestrian safety and prevent collisions.
Smoking
Please smoke in the designated smoking areas. Please dispose of cigarette ends in the ashtrays provided.
Care of Equipment
SY Plus Limited provides the best practicable furnishings and equipment to enable you to carry out your work efficiently and in a pleasant environment. Please take proper care of all such equipment and report any fault at once so that it may be rectified. You are particularly requested to keep your desk, workstation or working area tidy and free of litter at all times, and to take particular care of valuable items such as laptop computers and mobile phones. SY Plus Limited’ property must not be left in vehicles overnight, or on view when the vehicle is unattended.
Should you lose or find any article or money you should notify your line manager immediately.
Communications
SY Plus Limited believes that positive communication and consultation is essential for good employee relations and employee involvement. The most important element is your relationship with your
Line Manager and the effective formal/informal day-to-day communication that exists. This provides the base on which we build other formal communications.
As far as possible, employees will be consulted on changes to SY Plus Limited working conditions and practices, policies, and employment conditions.
If you have any suggestions on how we can improve our internal communications, please discuss them with your Line Manager.
Outside Interests
SY Plus Limited encourages its staff to take an active interest in voluntary work, providing this does not seriously affect their ability to do their job effectively. Please let your Line Manager know of any substantial involvement you may have, or plan to have with, for example and not limited to, the Territorial Army, School Governing Boards, Naval reserves etc.
Social and Community Activities
You are encouraged to take part in social activities arranged or sponsored by SY Plus Limited. These help people get to know each other and develop team spirit.
All activities arranged on behalf of; or sponsored by SY Plus Limited must be supervised by a senior manager. The conduct of all participants, and those attending any functions arranged or sponsored by SY Plus Limited, must comply with SY Plus Limited policies and rules for conduct at work, even though events may be held away from SY Plus Limited premises and outside of working hours. Your personal behavior must protect and promote SY Plus Limited good name and reputation at all times.
Company Organised Trips and Activity Events
If you attend a Company trip or social/activity event you will be expected to conduct yourself in a proper manner and you will be required to comply with any rules or regulations relating to the event.
SY Plus Limited does not provide travel insurance or accident cover during any organised trip or social/activity event. Employees are required to provide their own appropriate insurance cover.
Media
You must not make any statement to the press, radio or television about our business, procedures, operations or policies. All enquiries should be directed to the Marketing department.
Photography
SY Plus Limited may take, hold digitally or physically a photograph of you if you have signed a voluntary photography release form.
With your approval SY Plus Limited will publish photographs taken of you and your name and likeness for use in print, online and video-based marketing material as well as other Company Publications and on internal systems.
Participation is voluntary and you will not receive financial compensation of any type associated with the taking or publication of these photographs, or participation in company marketing materials, or other Company publications.
In signing the declaration, you agree that publication of said photographs confers no rights of ownership or royalties whatsoever

Mobile Contracts with SY Plus Limited
Whilst employed by SY Plus Limited you may wish to take out a personal SY Plus Limited mobile phone contract.
Any contract must be approved by Gary Strickland-Smith in advance and will be subject to the usual credit checks as required with any mobile contract.
If you leave SY Plus Limited during the contract term you remain liable for the rest of the contract.
Other Employment and Private Work
An employee of SY Plus Limited may not become an employee, officer, director, consultant, partner, or sole proprietor of any other business, without first obtaining the written approval of SY Plus Communications. If you participate in, or intend to participate in, any employment outside your job with SY Plus Limited, you must first check with your Line Manager that no conflict of interest may arise.
You must not carry out private work during SY Plus Limited time, on SY Plus Limited premises, or using SY Plus Limited materials, resources, or equipment. Additionally, you may not engage in private work, which conflicts with, or against the interests of the activities of SY Plus Communications, whether in SY Plus Limited time or not. A breach of these policies is an act of Gross Misconduct, which will be subject to disciplinary action.
Suggestions
SY Plus Limited welcomes suggestions from any employee about any of SY Plus Limited activities.
