Purpose of the Policy

1.1

SY Plus Limited operates a large call centre using a high level of technology to run its business. This policy has been provided to support and encourage staff in projecting a professional image at all times.

1.2

This policy is not contractual but sets out the way in which SY Plus Limited allocates mobile phones. The rules relating to mobile phones will apply differently to individual members of staff depending on the type of work being undertaken and the working area. We expect all employees to adopt a common-sense approach in this regard.

1.3

The majority of mobile phones have a built-in camera (with video functionality). Employees are strictly prohibited from taking any photos (or videoing) at any time during the working day within SY Plus Communications. This applies equally to all staff.

Calling Floors - Telesales / Sales

2.1

No mobile phones are allowed on the call centre floor and If you choose to bring your mobile phone into work, it should be stored in a safe and private location i.e. a handbag or coat. You are permitted to use your mobile phones at lunch and break times but outside the building or in the kitchen areas only. Using a mobile phone on the calling floor could be subject to disciplinary action.

2.2

No food, chewing gum or sweets are to be consumed at desks on the calling floors; – break out areas have been provided.

2.3

For security reasons all computers are to be left in a locked status each time you move away from your desk area e.g. bathroom breaks, meetings, briefings etc.

Operations – IT / HR / Training / Marketing / Compliance

3.1

Operations staff should refrain from keeping their mobile phones on their desks. If you choose to bring your mobile phone into work, it should be stored in a safe and private location i.e. a handbag or coat.

3.2

All personal items should be stored in the individual lockers provided. SY Plus Limited does not accept responsibility or liability for any personal items not stored in the lockers provided.

3.3

Mobile phones are permitted but are not to be taken on to the calling floors unless provided for company use. Where a mobile phone has been issued by the company, it is for business use only and at all times will remain the property of the company. The user(s) will be responsible for its safekeeping, proper use, condition and eventual return to the company.

3.4

For security reasons all computers are to be left in a locked status each time you move away from your desk area e.g. bathroom breaks, meetings, briefings etc.

At the end of each day:

4.1

All calling floor desks should be left completely clear

4.2

All files, notebooks and paperwork to be stored in cupboards provided and any sensitive paperwork to be locked away securely

4.3

All chairs to be pushed under the desks neatly

4.4

All customer records and information should be sent for shredding at the end of each day

4.5

All computers to be shut down or locked

4.6

All staff will be provided with access to a minimum of one network station with one or two screens, telephones, and headsets.

4.7

Within all areas of the business no employee has exclusive use of any desk, all staff should expect to be mobile and flexible in their work; this includes hot desking.

4.8

Some staff will be provided with wireless items such as laptops, headsets etc. for use in work; they are not to be removed from the building without prior permission from the line manager.

4.9

Any employee found to be in breach of this policy may be subject to disciplinary action under the disciplinary policy.
